If you have asked three vendors for a school ERP quote you have probably received three completely different shapes of answer. That is because there is no standard way to price this software. Understanding the models is the key to comparing them fairly.
The five common pricing models
| Model | How it works | Watch out for |
|---|---|---|
| Per student, per year | A rate multiplied by the number of students on roll. | Cost climbs with every admission. Ask how “students on roll” is counted. |
| Per module | Each area (fees, exams, attendance) is priced separately. | The module you need most is often the one that costs extra. |
| Per user | You pay for every staff login. | Discourages giving teachers and parents access, which defeats the point. |
| One-time licence plus annual maintenance | A large upfront payment, then a yearly support fee. | Upfront cost and the risk of paying for software that does not fit. |
| Flat annual subscription | One fixed fee for the school, whatever the size within a band. | Check the size band, and what happens beyond it. |
The costs that rarely appear on the first quote
- Messaging. SMS and WhatsApp are often billed separately. Ask who pays the provider and at what rate.
- Onboarding and data migration. Importing years of student and fee records can be charged by the hour.
- Training. Ask whether it is included, and how many sessions.
- Hardware and integration. If you already own biometric devices, ask whether the software connects to them or whether you need to replace them.
- Customisation. “We can build anything” can mean an open-ended invoice.
- Renewal terms. Check what happens to the price in year two and year three.
Compare the three-year cost, not the headline
For each vendor, add up what you will pay over three years: subscription or licence, onboarding, messaging, training, any extra modules and support. Then recalculate with your school 20 percent larger. A quote that looks cheaper in year one can cost far more by year three.
To show why this matters, take a purely hypothetical rate of ₹50 per student per year. A school of 800 students would pay ₹40,000 a year, and one of 950 would pay ₹47,500, so the bill rises each time you admit more children. A flat fee does not move. That is an illustration of the maths, not a quote from any vendor.
Eight questions to put to every vendor
- What is the total cost for my school size for each of the next three years?
- Which modules, if any, cost extra?
- Who pays for SMS and WhatsApp, and at what rate?
- Is data migration included?
- Is training included, and for whom?
- What does the price become if my school grows past the band?
- Can I export all of my data at any time, and is it free?
- What does a renewal cost?
