What is school ERP software?
ERP stands for enterprise resource planning. In a school, it means a single system that runs the main operations of the institution on one shared set of records: admissions, attendance, exams and report cards, fee collection and accounting, staff and payroll, and communication with parents.
The key word is shared. A fee receipt, an absence alert and a report card all concern the same student. In a school ERP they are produced from one student record, rather than from three spreadsheets that each hold a slightly different version of the truth.
For a typical Indian K-12 school, that replaces paper registers, cash and receipt books, mark sheets, notice boards and a lot of phone calls with one platform that everyone logs into, each seeing only their own part.
School ERP, school management software and student information systems
These terms overlap, and vendors use them loosely. A rough guide:
| Term | What it usually means |
|---|---|
| School ERP | The whole school on one platform, including finance, HR and payroll, not only student records. |
| School management software | Used interchangeably with school ERP for most Indian schools. Sometimes a narrower product focused on the classroom. |
| Student information system (SIS) | Primarily student records, attendance and grades. Often has no accounting or payroll. |
When you compare products, ignore the label and check what is actually covered. The questions in our checklist for choosing school management software work whatever the product calls itself.
What a school ERP should cover
A school ERP is only as useful as its weakest area. These are the areas to expect, each explained on its own page:
Admissions
Enquiry to enrolment in one guided flow, with fees confirmed by a person.
ExploreAttendance
Daily registers plus the gate and biometric devices you already own.
ExploreExams & results
Seat plans, admit cards, marks entry, publish-and-freeze, report cards.
ExploreAcademics
Timetables, syllabus tracking, assignments and the teacher’s diary.
ExploreHR & payroll
One staff record, leave approvals, payroll runs and payslips.
ExploreFees & accounting
Online collection, automatic receipts and a ledger that can never be edited.
ExploreCommunication
Email, SMS, WhatsApp, push and in-app, chosen per event.
ExploreDocuments & data
ID cards and certificates on your letterhead; CSV import and full export.
ExploreBeyond the modules, look for role-based access control that lets you write your own roles, and for tools that tell staff where to look, such as student performance analytics.
Signs your school is ready for one
- The fee counter has a queue, and month-end reconciliation takes days.
- Parents ring the office to ask about attendance, fees or results.
- The same student is typed into three different files.
- Report cards take weeks and errors keep slipping through.
- Payroll depends on one person and one spreadsheet.
- The principal cannot see how the school is doing without asking for a report.
- You own biometric devices that are barely used.
If three or more of these are true, a school ERP will pay back quickly in staff time alone.
Web-based or installed?
Older school software was installed on a single office computer. That works until the computer fails, or until a teacher needs a record from home. Web-based school ERP runs in the browser, so staff and parents can log in wherever they are, there is nothing to install, and updates happen without a technician visiting. NQ School is web-based, and prints documents straight from the browser.
Whichever you choose, ask where your data lives, how it is backed up, and how you can get a copy of it. A trustworthy vendor answers all three without hesitation.
How to evaluate a school ERP
Start with your five biggest problems and ask each vendor to solve them on your own sample data. Then compare on the points that matter after signing:
- One record. Do all modules share one student record?
- Roles. Can you write your own, and are they enforced on the server?
- Hardware. Does it work with the devices you already own?
- Parents. Which channels, and can you choose per event?
- Ledger. Can fee entries be edited, or only reversed?
- Data. Can you export everything, at any time?
- Cost. What is the three-year total? See school ERP cost in India.
Once you have chosen, the implementation checklist covers the rollout.
How NQ School approaches school ERP
NQ School is a school ERP for K-12 schools in India, built around a few firm ideas:
- One platform, one record. Admissions, attendance, exams, fees, HR and communication share a record of each student, so nothing is typed twice.
- Roles you write yourself. Every action is a named permission, enforced on the server.
- Your hardware. Gate and biometric punches are ingested from the devices you already own.
- Parents on the channel they use. Email, SMS, WhatsApp, push and in-app, chosen per event.
- Accounts that audit cleanly. The fee ledger is append-only. Corrections are reversals, never edits.
- A price you can predict. A flat ₹10,000 a year for schools under 1,000 students, every module included.
